Investment Solutions Admin. Assistant

Description:The investment assistant position will provide support to the entire Investment Solutions team. Support would include, but is not limited to, compiling and preparing client data and documents, documentation, technical support, daily administrative tasks, answering phone calls, scheduling appointments, and providing excellent customer service.
Duties:1.Contact clients/prospects to schedule meeting, follow-up information, and annual reviews
2.Provide client support including; answering phones and routing to appropriate Financial Advisor, update client address changes in investment solution systems, prepare any necessary paperwork for client signatures, scanning and filing of client statements and confirmations
3.Review and update client information in the Redtail and Outlook system
4.Assist with preparing new account and supplemental new account forms to be in compliance with the “three year” rule
5.Assist with client meeting preparation
•New client folders
•Monthly client reports
6.Prepare and mail out birthday, anniversary, sympathy and gather other greetings of that nature for our clients and prospects
7.Prepare for employer plan meetings; updating paperwork and preparing reports
8.Assist with daily operations which include; mail distribution, file management both paper and electronic, and management office supplies
9.Assist with Redtail CRM software updates and maintenance of client and prospect client data
10.Assist with any seminars and marketing efforts as needed
11.Assist with preparing monthly, quarterly and annual regulatory reports/tasks
12.Assist Financial Advisor with miscellaneous tasks
Qualifications:Ability to type with speed and accuracy
Must have past experience with computer processing and experience in Word and Excel
Good organization skills, ability to work effectively with minimal supervision
Must have past experience with customer service, telephone etiquette, and excellent communication skills
Must be able to work in a fast pace environment while managing multiple tasks
Ability to maintain confidential information
Ability to travel to client meetings or other bank locations as needed

•High school degree or equivalent
•BA or some post-secondary education preferred
•1-2 years previous office assistant experience preferred
